This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you use our website, applications, and AI voice receptionist services (the "Service"). When you register or manage a Vox247 AI account, we may collect your name, business name, email address, phone number, billing address, job title, team member details, authentication credentials (stored in hashed form), subscription plan, and communications with our support team.
1.2 Call Logs, Audio, and AI Processing Data
To operate the Service, we process telecommunications metadata and content, including inbound and outbound call records, caller phone numbers, call duration, timestamps, call recordings or audio streams (where enabled), transcripts, AI-generated summaries, appointment details, lead information, and interaction outcomes. This data is used to answer calls, book appointments, qualify leads, provide analytics, and improve Service reliability.
Customers are responsible for providing legally required notice and obtaining consent from callers before recording or processing calls, where applicable.
1.3 Usage and Technical Data
We automatically collect device and usage information such as IP address, browser type, operating system, log files, dashboard activity, API requests, error reports, and cookies or similar technologies used for authentication, security, and performance.
1.4 Payment Information
Payments are processed by third-party payment gateways. We do not store full payment card numbers on our servers. We may receive limited billing metadata (such as transaction IDs, last four digits, billing country, and subscription status) from our payment processors.
2. How We Use Information
We use personal information to:
- Provide, operate, maintain, and secure the Service;
- Process subscriptions, invoices, and account administration;
- Run AI voice agents, transcribe calls, and generate business insights;
- Send transactional emails, alerts, and service-related notifications;
- Respond to support requests and enforce our Terms of Service;
- Monitor usage, prevent fraud, and comply with legal obligations;
- Develop and improve features, subject to appropriate safeguards.
We process data based on contractual necessity, legitimate business interests, compliance with law, and consent where required (for example, certain marketing communications or optional cookies).
3. Data Security
We implement administrative, technical, and organizational measures designed to protect personal information, including encryption in transit (TLS), access controls, authentication safeguards, and vendor security reviews. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
In the event of a data breach that affects your rights, we will notify you and regulators as required by applicable law.
4. Third-Party Processors
We share information with trusted service providers who assist us in delivering the Service, including:
- Payment gateways (e.g., Razorpay and other authorized processors) for subscription billing and fraud prevention;
- Telephony providers (e.g., Twilio) for call routing, numbers, and voice infrastructure;
- AI and speech providers for language understanding, text generation, and speech-to-text or text-to-speech processing;
- Cloud hosting and database providers for application hosting and data storage;
- Email and calendar integrations you choose to connect (such as Google Calendar or Resend).
These processors are permitted to use data only to perform services on our behalf and must protect it under contractual obligations consistent with this Policy.
5. International Data Transfers
Vox247 AI serves customers globally. Your information may be processed in the United States and other countries where we or our subprocessors operate. Where required, we implement appropriate safeguards for cross-border transfers, such as standard contractual clauses or equivalent mechanisms.
